Minutes of committee meeting

Present: Vicky Burden, Nigel Coleman, Sue Holligan, Vanessa Sharpe

Apologies: Alan Glynne Jones, Melanie Haydon, Rebecca Rickard

 

1.      Minutes of the meeting 2nd September 2008 and matters arising

The minutes of the previous meetings were accepted.

Actions completed, unless detailed below:

Ø    Vanessa to update website with chairman and treasurer’s report.

Ø    Alan to look into website address change and email Players their forum password.

Ø    Vanessa to produce membership cards, with event dates (further dates decided at this meeting).

Ø    Hall will be needed from 2.30-10.30 (for Proteus) – Vanessa to write to Joyce to confirm booking (also to confirm booking for Play 2008 and Panto 2009 for 20th and 21st February).

Ø    Vanessa to advertise workshops being offered by local theatres and contact Winchester about possible panto workshops.

Ø    Harvest Supper – Vicky to phone Sandie to confirm acts – Rebecca and Lesley, Sue Jackson, Chris, Sue Spurling?

Ø    Harvest Lunch – Alan to contact David Bevan.

 

·      Vicky has seen Sophie Lyons about costume – no problems having them at Marsh Court for now. Vicky given thank you note.

·      Vicky phoned John Chalcroft about scenery storage and left a message.

·      Nigel was thanked for organising a lovely and enjoyable walk.

 

2.      Play

The role of Miss Mockridge has been filled by Francis Dixon.

Vicky has got the bar licence and is recruiting for front of house.

Posters and tickets have been produced.

Ø    Vicky to ask Cross Stores to sell tickets and take half to go on sale tomorrow.

Ø    Vanessa to distribute other tickets around cast.

Ø    Posters distributed to be put up around village and surrounding area by committee – Vanessa to give more to cast to put up.

 

3.      Panto

Start up meeting – postponed, due to lack of director.

Proposed date for meeting is Thursday 6th November, providing a director is found.

Casting meeting is cancelled.

Ø      Vicky to ask Sue Jackson about directing.

Ø      If Sue J is not interested – big email plea to all members.

Scripts – Vicky didn’t like Puss in Boots – although a different version may work.

Could use a script with a small cast and add a lot extra, especially for children.

Ø      Committee to continue reading scripts www.lazybeescripts.co.uk.

 

4.      Events

11th Oct – Harvest Supper

31st Oct and 1st Nov – Dangerous Corner

6th Nov – Panto start up

28th and 29th Nov – Stockbridge Big Benefit (Vicky offered melodrama – may be too long)

13th Dec – Snow Queen

18th Dec – Christmas charades and mulled wine

Jan – panto preparation

20th and 21st Feb – Panto

12th March – Meal

2nd April – April Fools

7th May – AGM

11th June – Shakespeare evening (Vanessa)

4th July – Beetle Drive (Sue)

Ø      Workshops – find dates

 

5.      Village Hall Development

Demonstration with Adam Pepe from Amadeus for 16th September at 3.30pm. Vicky, Nigel, Chris Hall, David Haydon and Tony Ward attended.

All were impressed by the flexible staging

Positives - stable and solid, compact to store, not very noisy, can choose surface, can have alternative heights, superior to Q build.

Negatives – slow to set up, would need to stay up during rehearsals, danger of small parts going missing.

Could have whole stage made out of this – with three quarters up permanently and the rest stored underneath.

They can supply a framework for stage curtain which will support flats and lights.

Tony is willing to organise a demo for us from another company – which we felt would be a sensible idea.

 

6.      AOB

Ø      Margaret Burgess has offered her garden on Romsey Road as a location for a play. Vicky will ask if we can use it for the Shakespeare event to test it out.

Ø      Vicky produced the Village Hall Conditions of Hire which we need to sign and return. Vicky will photocopy and distribute.
