Minutes of committee meeting

Wednesday 5th September 2007  9.00pm

Epworth Hall

 

Present: Vicky Burden, Nigel Coleman, Alan Glynne Jones, Melanie Haydon, Sue Holligan, Rebecca Rickard, Vanessa Sharpe

 

 

1.      Minutes of the last meeting 16th August 2007 and matters arising

The minutes of the previous meeting were read and accepted.

                                          

2.      Matters arising from panto production meeting

See attached notice for jobs assigned.

Ø      Vicky and Sue Jackson to look at versions 1 and 3 or Sleeping Beauty and make final decision on script.

Ø      Vicky, Sue J and Melanie to meet on Thursday 13th September 7.45 at Vicky’s.

 

3.      Costume

Grant from Test Borough Council – Rebecca reported that Michael Johnson is very positive about the Players and thinks we have a good chance for a grant for costume storage (see her email or the forum for more details). Vanessa has emailed him our last newsletter and Alan has added him to our website forum so we can keep in contact.

Ø      Melanie to look into the grant application form and the possibility of applying for money for wider purposes than costume storage.

Use of Scout site – Vicky made contact with Janice Waterman and will get back to them in October.

Moving costumes – Sunday 14th October to Sarah Litton’s.

Ø      Vanessa to liaise with Sarah.

Ø      Vicky to organise volunteers and transportation.

 

4.      Play

Finances - Vanessa provided a cost analysis for the play. Based on estimates we need to sell 45 tickets each night to break even.

Tickets

Ø      The committee took away tickets to sell – please return to Vanessa if unable to sell them.

Ø      The committee suggested sending free tickets to key members of the community.

Ø      Contact will be made with Test Valley School to see if students want to make up a non-paying audience for the dress rehearsal.

Costume - Vanessa made contact with local companies who hire costumes – with some positive responses. (PMN – Sarah Litton took over costume organisation and has secured costumes for all cast at £20 each – total £140 which is within budget.)

Publicity - Andy Litton produced posters and provided design for tickets and programme cover free of charge.

 

5.      Events

Barbecue was a success. Thanks to Sue and Patrick for use of their house and garden and to Sue for organising.

Walk – Sunday 9th September meeting 11.30 outside church. Walk to Beacon Hill (1hr30), picnic lunch, treasure hunt, walk back through Parnholt (1hr30) – opportunity for lift back after lunch for those who do not wish to continue. (PMN – Fantastic weather and a really enjoyable day – thanks to Nigel for planning a great route.)

Harvest Supper – Vicky is organising 2 short pieces and has begun casting – more males needed. Rehearsals to be arranged.

Children’s Performance – need to start planning after the play has finished. Important to plan dates carefully to ensure children will be available. Rebecca offered her help.

 

6.      AOB

Ø      Proteus theatre has a production of Beauty and the Beast this winter. We decided not to invite them here as it will detract from our panto – but possibly to arrange a trip to see them elsewhere.

Ø      Jigsaws left over from Church Fete will be given to Joseph Rickard for the Christmas Fayre on November 17th.

Ø      Sarah Litton has expressed an interest in seeking sponsors for the Players to generate more funds. The committee are happy for her to go ahead on this.

Ø      The committee would like to see the Constitution – Melanie to bring to next meeting.

Minutes of the open panto production meeting

Wednesday 5th September  7.45pm

Epworth Hall

 

Present: Vicky Burden, Nigel Coleman, Alan Glynne Jones, Melanie Haydon, Sue Holligan, Rebecca Rickard, Vanessa Sharpe, Lesley Evans, Andrew Flanagan, Sue Jackson, Carolyn Ryan, Isabelle Ryan, Juliette Ryan, Trevor Ryan

 

 

An open production meeting was called in order to generate a large supportive team for panto production which can be in place from the start of proceedings.

 

Jobs were discussed and people volunteered to organise/help with certain elements of panto production.

 

We still need more people to help in key roles and with general front of house and backstage duties.

Please note: The following was decided at the meeting, however changes have taken place. The 2008 panto will now be Cinderella and will be directed by Vicky Burden with a production team of Melanie Haydon, Pollyann Monk and Carolyn Ryan.

Front of House or backstage – Carolyn Ryan

 

Vicky, Sue J. and Melanie will meet on Thursday 13th September 7.45pm at Vicky’s house to discuss the script.
