Minutes of committee meeting

Present: Vicky Burden, Nigel Coleman, Alan Glynne Jones, Melanie Haydon, Vanessa Sharpe

Also present for part: David Haydon, Sue Jackson

Apologies: Sue Holligan, Rebecca Rickard

 

1.      Minutes of the meeting 30th September 2008 and matters arising

The minutes of the previous meetings were accepted.

Actions completed – further actions detailed below.

Ø    Vanessa to deactivate forum on website as it is not in use and not checked regularly. The need for a forum can be reviewed at the next AGM.

Ø    Membership cards produced – committee to distribute – Melanie to check against her list of paid up members.

Ø    Events - Vanessa to contact Proteus.

Ø    Next newsletter will be produced after the play, to include events, play review, details on Proteus and the panto.

Ø    Hall development – Vicky get measurements of hall to Melanie for emailing to Amadeus.

Ø      Vicky to ask Margaret Burgess if we can use her garden for the Shakespeare event.

Ø      Vicky to photocopy and distribute Village Hall Conditions of Hire.

Harvest supper – David Haydon sang “If I can’t love her” from Beauty and the Beast, Peter Duncan, Chris Hall and Sue Jackson performed “Three Ha’pence a Foot” by Marriott Edgar and Pollyann Monk did a grain identification quiz and a chocolate quiz.

Harvest Lunch – the Players were not needed to provide entertainment.

 

2.      Play (joined by David Haydon)

Ø      Make up – Vicky to ask Carol Hallwood, cast to do own make up if possible.

Ø      Costume – men have DJs, women to contact Hampshire Wardrobe and shop in Salisbury. SADs did not have anything suitable.

Ø      Tickets – Vicky to check sales with Cross Stores.

Ø      Sound – Bill Sutton has agreed and is liaising with David.

Ø      Lighting – Steve Denford is available. Need to arrange time to set up.

Ø      Front of House – Nigel can help on Friday, Melanie can help on Saturday, Vicky will ask others for help. Licence - £21. Serving wine and orange juice. 5 floats needed.

Ø      Set – needs painting, curtains at window, stool.

Ø      Programme – info to Vanessa by Wednesday.

 

3.      Panto (joined by Sue Jackson)

Ø      Script – Dick Whittington and his Cat – Melanie to buy it and email to all.

Ø      Start up meeting – Thursday 6th November – Epworth Hall – 6.30 for children aged 8-14 wanting speaking parts – 7.45 for adults aged 15+.

Ø      Adult meeting has been advertised in Gauntlet – Vicky to contact children who have been involved before, Vanessa to email members.

Ø      Casting meeting – Thursday 13th November 5.30pm at Sue Jackson’s.

Ø      1st rehearsal – 20th November (Epworth Hall needs to be booked for rehearsals)

Ø      Planning start up – Sue J, Vanessa and Vicky to meet Tuesday 28th October 2pm at Sue’s.

Ø      Audrey Gannaway has offered to assist.

 

4.      AOB

Ø      Committee to distribute printed newsletters.

Ø      Murder mystery – Alan is not interested in writing it this time round. Vicky will liaise with Catherine Cartwright over alternatives.

 

Next meeting    

Casting meeting: Thursday 13th November 5.30 at Sue’s – a short meeting for the committee to approve Sue’s choice of casting.
