meeting Wednesday 26th

Minutes of the meeting 19th October 2008 and
matters arising The
minutes of the previous meetings were accepted. Actions
completed – further actions detailed below. Ø Vanessa to deactivate
forum on website as it is not in use and not checked regularly. (Post
meeting: forum is currently in use so will remain active.) Ø Membership cards
produced – Vanessa to produce cards for recently paid up members – Vicky,
Chris Hall, Audrey Thomas. Ø Next newsletter will be
produced before Proteus, to include events, play review, details on Proteus
and the panto including cast list. Ø Hall development – notes
from Vicky quoted here: ·
Things have
moved on. Chris, myself and Andrew have all seen a second staging system and
Chris a third. ·
2nd system -
SICO, Function Room stages, 2000 series A mobile, vertical storing unit which
was sturdy, easy to manipulate and position.

3rd system -
STAGE SYSTEMS, Q build (School use this) and Multi-Dek performance
staging. The latter a slightly more
beefed up version of Q build which I think some of you have seen or used. Non

I propose to
go back to the Village Hall
Development Committee with the complete size of stage we require ie
same as present size and ask VHDC to obtain quotes on that basis for systems
1 (Amedeus) and 2. They know the size of the fixed stage that they are
proposing - ergo they can determine the balance we require. ·
In addition I
will ask that the mobile section fills the width of the hall. Andrew pointed
out this shortfall in the plan. ·
VHDC can
obtain 3rd quote for Q build if they wish and then try and convince us if
that is their choice. ·
In my opinion
there are still some unanswered questions about the changes planned which I
will draft and put to the Players committee for approval before emailing to
the VHDC. ·
Please note
Andrew pointed out that Longstock Village Hall (very new by our standards) is
in the process of raising funds for a fixed stage as they have found it a
disadvantage not to have one!!!!!! The committee are happy for Vicky to go ahead
with this. Shakespeare
Event - Margaret Burgess agreed that we can use her garden. Murder
Mystery – Catherine Cartwright, Andrew Flanagan and Chris Hall to create for
school. 2.
Play Audience
– Friday 58; Saturday 49. Finances
– Dangerous Corner made a profit of £20 + 8 remaining bottles of wine. Costs
– royalties and buying scripts were main expenses (resulting in much higher
fixed cost than panto) and hiring of rehearsal venues - therefore excellent to
have made a profit. Review
– written by Margret Burgess, appearing in the Gauntlet, on the website and
in the next newsletter. Touring?
– the point was raised (as last year) about touring the play to nearby
villages. It is a shame not to reach a wider audience after all the effort
than is put into producing a play. Comments were made that the performances
would need to be close together so the play doesn’t lose momentum and that
time and effort would be needed to ensure the success of this new venture. 3.
Panto Casting
- The committee is very pleased with the casting of Dick Whittington. It is
great to see new names and faces and to welcome back those who have been
absent from the stage for a while. Ø Rehearsals – Epworth is
booked for rehearsals up to Christmas (?). Joyce has a copy of the rehearsal
schedule but may require official booking by letter. Ø Budget – Melanie will
produce a budget. Ø Production – Sue J
asked if the committee could help with production. Roles were discussed and
allocated where possible - see attached sheet. Please follow up people to ask
and keep Sue informed of any developments. 4.

Please spread
the word as well 6.30 Sat 13th Dec £6.00 Adults £4.00 children Ø Fliers also to be
distributed to Beavers, Cubs, Scouts, Tiny Tots, Stockbridge School,
Broughton, Braishfield, if possible. Ø Set up – Vicky/Chris
available to let Proteus in at 2.30pm. Nigel to help setting up chairs at
5.30pm approx. Ø Front of House – need
someone to organise people on door, raffle, programme selling (check price
with Proteus), refreshments (tea, juice, choc ices) – any chance Rebecca
could do this? Ø Melanie to organise
floats. Ø Apologies from Alan,
Sue and Vanessa who will not be able to attend. 5.
Events and Workshops Charades
and wine Ø Vanessa to organise
charades. Ø Melanie to check with
David about using their house (Post meeting – Pollyann offered her house –
Melanie to confirm decision on venue). Ø If at Melanie’s, she
will organise mulled wine (using wine left over from play and panto) and
nibbles. Ø Ask Sue J whether panto
rehearsal can finish early (9pm?) or if those rehearsing will join in later. Workshops
– Theatre Royal Ø Discussed email
communication regarding panto workshops and the vague nature of the responses
from Workshops
– panto Ø Sarah Litton has
offered panto workshops in the past. Let Sue J know to get in touch with
Sarah if she wants any workshops and see if Sarah is still interested. 6.
AOB Costume
storage – Vicky suggested Sunday 11th January for removing
costumes from Ø Is Saturday a better
day? Sue and Melanie can’t do Sunday morning and Sunday afternoon is
rehearsal. Ø Could any room for
costume be made in the props cupboard? Next meeting Tuesday
13th January 7.45pm at Sue Holligan’s. On
the agenda – panto, costume storage (unless this has already been done), new
