Committee Minutes Minutes of committee meeting Thursday 22^nd May 7.45pm Rebecca’s Minutes Present: Vicky Burden, Alan Glynne Jones, Melanie Haydon, Sue Holligan, Rebecca Rickard, Vanessa Sharpe Apologies: Nigel Coleman 1. Minutes of the meetings 27^th March 2008 and 2^nd May 2008 and matters arising The minutes of the previous meetings were accepted. · Grant application was refused due to us being a financially successful society. This leaves costume storage as an issue to be discussed at the next meeting. · Vicky has yet to write to Terry about our concerns over the stage curtain in the Village Hall. · Letter to Village Hall Development Committee discussed under AOB. 2. Actions from AGM The committee checked the AGM minutes and updated constitution in advance of them being made public. Ø Vicky to email Chairman’s report and list of activities to Vanessa. Ø Melanie to email accounts and ticket sales info to Vanessa. Ø Vanessa to email AGM minutes to all Players. Ø Vanessa to update website with AGM info. Ø Alan to look into website address change and email Players their forum password. 3. Events for 2008 · Church Fete – 7^th June The puppet show has been written. Ø Alan to get a copy of Star Wars theme and Reach for the Stars and ensure a music player is available. Ø Rebecca to phone Glenda to ask about power points. Ø John Rickard will video the puppet show. There will also be a promotional stall for the Players. Ø Melanie to bring a table. Ø Vanessa to organise promotional material – photos and programme from previous productions, flyer advertising Autumn play, advert for Proteus’s The Snow Queen, sign up sheet for panto 2009. Ø Alan to dress up as dame (with one other?) – to contact Sophie Lyons regarding costume. · Variety Show – 4^th July Chris’s melodrama is in rehearsal. Ø Vanessa to organise a second sketch. · Children’s Production – 11^th-15^th August The committee decided against a hog roast due to costs, but will host a barbecue following the production for cast, parents, helpers and Players. People will be asked to bring food to share. The committee agreed to paying 2 days childcare for Sarah while she runs the summer school, to the amount of £60 – Sarah has organised free childcare for the other 3 days. Ø Vicky to find out about CRB checks. Ø Melanie to pay royalties. · Autumn Play David Haydon will direct the Autumn play. The start-up meeting/auditions will be on Thursday 19^th June in the Epworth Hall (tbc). The production will be on Friday 24^th and Saturday 25^th October in the Village Hall (tbc). Ø David to let committee know choice of play by 5^th June. Ø Vanessa to advertise play at Church Fete. Ø Melanie to check dates with David. Ø Vanessa to book venues and confirm dates. · Proteus – 13^th December The committee talked through a list of points raised by Proteus. Document attached. Ø Vanessa to respond to SADS to express our interest. Ø Sarah to be asked at a later date about panto workshops. Ø Nigel proposed a theatre visit or studying and then watching a play in performance – to be discussed more next time. 4. AOB Ø Rebecca read Nicola Waggott’s writing about the pantomime, which the committee were delighted with. Vanessa to contact the Waggotts to ask permission to put on website. Ø Vicky presented a draft letter written to Village Hall Development Committee. Vicky to add a few points and send. Ø Melanie to send Vanessa list of members. Ø Vanessa to produce membership cards. Ø (omitted). Next meeting – Thursday 26^th June 7.45 pm at Melanie’s Ø David to be invited to finalise casting for the Autumn Play.
