Committee Minutes Minutes of committee meeting Thursday 24th May 2007
7.45pm Alan and Vanessa’s House Present: Vicky Burden, Alan Glynne Jones, Sue

of the last meeting 25th April 2007 The minutes of
the previous meeting were read and accepted. 2. Matters
Arising (omitted) 3. Costume Insurance The committee
valued the Players’ costume at £2000. Ø
Melanie
is requested to look into current insurance to see what it covers and see
what insurance we can get for costumes (by 21st June). Storage Notes from the
AGM were read. Alan and
Pollyann had since added more information by email. Ø
Alan
to check costing for renting and electricity of a container against prices
for hiring costumes (by 7th June). Ø
If
a container is cost-effective Vicky will contact Chalcrofts and John Gorst
about space, Alan will contact the farmer in Titherley, Sue H will contact
the Buckleys. Ø
An
ad for space will be put in the newsletter. Ø
Need
to follow up all leads and be proactive. Costumes need
to be accessible. 4. Autumn Play Casting was
discussed. Ø
Vanessa
to contact all who auditioned and publish cast list. Ø
A
rehearsal schedule will also be published and venues for rehearsals booked as
necessary. Ø
Vanessa
and Jo will also look into the possibility of having a bar during the
performances – will need to contact the Village Hall. 5. Other Events Activities
and Socials
Ø Find a venue for Team Charades. Ø
Organise
food for Team Charades and Barbecue. Ø

details for events to be confirmed. Ø
More
info on events in Newsletter. Panto 2008 We would like
the panto to be at the end of February half term, as this means more children
can be involved. Ø
Vanessa
to book Village Hall for performances and rehearsals during Dec, Jan and Feb,
and Epworth Hall for earlier rehearsals and to email Andrew with dates re
lighting. Ø
All
committee members need to ask for expressions of interest in directing and
producing – with a view to having a script, director and producer before the
summer. Separate start
up meetings will be held for adults and children in September. Children’s
Performance Ø
Expressions
of interest in organising
/ directing something for next year will be requested in the newsletter. 6. Contacts Ø
The
committee need to contact as many people as possible to get updated details
for those who wish to join or re-join the Players. Ø
Members
will be asked to specify if they don’t want names and photos to appear on the
website. Ø
Membership
cards are being produced and will have contact details for the committee and
the diary of events for the year printed on them. Ø
Gauntlet
information needs to be updated. The new website
www.giraffeandtiger.plus.com/players
was shown to the committee. It includes past and current information on
committee meetings, AGMs,
newsletters and productions and also has links to photos and a forum for
discussion. Ø
If
the committee want any changes or have any suggestions they should contact
Alan or Vanessa. An email
address for the Players has also been set up. The email address is somborneplayers@googlemail.com
and committee (only) can access the email to send or view messages by signing
in on www.gmail.com. Check with Vanessa
for the username and password. Ø
If
the committee do not want to be automatically forwarded all emails, they
should contact Alan or Vanessa. (Sue H and Vicky have been removed and will
be forwarded important messages by hand.) 6. AOB Ø
The
committee will discuss the possibility of co-opting committee members at a
future meeting. Next meeting Wednesday 30th
May 8pm in the Crown This will be a
short meeting to plan the Team Charades event and discuss contacts further. A further short
meeting will take place on Monday 18th June at 9pm in the Crown. |
