Monday 23rd July 2007  7.45pm

Vicky’s House

Present: Vicky Burden, Nigel Coleman, Alan Glynne Jones, Melanie Haydon, Sue Holligan, Rebecca Rickard, Vanessa Sharpe

1.      Minutes of the last meeting 18th June 2007 and matters arising

The minutes of the previous meeting were read and accepted.

·        Children’s production - Sue is happy to continue looking into a script and help out, but will not have time to direct.

Ø      Vanessa to speak to Sarah Litton to see if she would be interested.

·        Co-opting – Rebecca has re-joined the committee.

·        Contacts – Vanessa will include contacts suggested by Melanie in the next newsletter distribution if possible.

·        Signatories

Ø   Vicky and Vanessa to get certification from the Vicar then contact Melanie.

2.      Costume

Alan looked further into costings for a storage container:

container - £800

de-humidifier - £124 (including VAT and delivery)

electricity for running de-humidifier - £190-£240 per year

plus getting electricity supply to de-humidifier

Vicky looked into costings for a shed:

looking at over £1000 for a decent sized shed

need concrete base

no need for de-humidifier

risk of vandalism and possible higher insurance premiums

Other costs to consider:

planning permission (Jon Rickard could help with paperwork)

rent for space (Playing Fields Association likely to be amenable)

donation to Scouts as the space is currently used by them

Ø        As costs could be too high to manage, Melanie to do a cost analysis of storage against hiring costumes.

Ø        Committee to look into possibility of getting a grant:

Rebecca talk to Jan

Vicky talk to Madeline

Sue to go to library

Ø        Continue to look into other storage options:

Melanie to ask David Wiggins about the Ashley Estate

Rebecca to talk to Hoplands

Alan to talk to Raods

Unlikely to have solution by October when costumes need to be moved from Marsh Court.

Ø      Vanessa to put advert in newsletter asking for members to store one box/bag of costumes each.

3.      Panto

Nigel, Melanie and Vanessa had started to look at some panto scripts on http://www.lazybeescripts.co.uk and particularly like the look of Sleeping Beauty (version 1 by Jon Dwyer).

Ø      All committee members to read the script and feedback responses on suitability, considering character roles, set and staging, humour.

As the panto is such a big job for a director and this may stop some people volunteering, we would like to put together a production team initially and develop roles from there.

Ø      Vanessa to put advert in summer newsletter and September’s Gauntlet.

Ø      All committee to attend initial production team meeting on Wednesday 5th September at Epworth Hall.

Further production team meetings to be held at need, with auditions for the panto being on Wednesday 19th September at Epworth Hall.

4.      Events

·        The charades evening went very well and there is plenty of material left for a similar evening in future.

·        Pride and Prejudice at Mottisfont on Wednesday 25th July.

Not much response from Players to this event, though the committee still feel it is good to have theatre visits despite them being difficult to organise. Nigel also suggested getting together to review theatre or cinema.

·        Barbecue on Saturday 18th August at Sue’s.

Ø      Meeting for committee at Sue’s on Thursday 16th August at 7pm (before play rehearsal) to finalise details – food/games.

Ø      Vanessa to put advert in newsletter to encourage families and new members to come along.

Ø      Vanessa to be contact from August as Sue will be away for a few days beforehand.

Ø      Personal contact to be made to invite people to barbecue and ask for subs.

·        Walk on Sunday 9th September.

Nigel has found 3 possible routes, 2 including picnic stops with the option of a longer walk after lunch for those who wish to go further, and 1 involving a shorter walk ending at the pub in case of bad weather.

·        Harvest Supper on Saturday 13th October.

Sandie would like the Players to provide 20 minutes of light-hearted entertainment. Rebecca is happy to be involved.

Ø      Vicky to organise scripts and people.

5.      Newsletter

Ø      Vanessa to compose summer newsletter and email to committee for approval.

Ø      Newsletter will then be emailed out to those online and printed for committee to distribute to others. Some membership cards will also be given to committee for distribution.
