Present: Vicky Burden, Nigel Coleman, Melanie Haydon, Vanessa Sharpe

Apologies: Alan Glynne Jones, Sue Holligan, Rebecca Rickard

 

1.      Minutes of the meeting 1st November 2007 and matters arising

The minutes of the previous meeting were accepted.

Ø      Costumes – Melanie to ring Sarah Litton to organise access to costumes for sorting and then to contact Vicky and Nigel. Melanie will also pay Sarah and write a letter confirming the terms and conditions of hiring the space.

Ø      Newsletter – Vanessa asked committee to help distribute some newsletters by hand. Hand delivered newsletters are only going to paid up members.

 

2.      Grant application

Constitution – provided

(It was noted that the constitution was last updated in 2000. The committee will review the constitution in March and make any proposals for amendment at the AGM in May.)

Events list – provided

Mission Statement – the committee collaborated to write a mission statement for the Players:

The Somborne Players is an inclusive village society whose mission is to entertain and benefit the community with a range of productions involving all age groups and particularly encouraging junior participation. Our objectives include developing members’ theatre skills in all areas of amateur dramatics, fundraising for other village organisations and providing opportunities for social interaction.

Pricing – Vicky gave pricing for:

12 flats @ £40 each = £480

concrete base for shed   @ £  500 (no labour)

@ £1500 (with labour)

Ø      Vicky to get pricing for shed, curtains and tracking, including 3 quotes for any item over £1000 and pass on to Melanie.

 

Ø      Melanie to complete application, scan and email to committee for approval. Aim to send application to council before Christmas.

 

3.      Panto 2008

The committee decided on 3 performances with some groups or individuals to be invited to the dress rehearsal.

Tickets will cost:

Friday and Saturday evening: £5 full; £4 concessions

Saturday matinee: £5 full; £3 children

Vicky is happy with the production team she has working with her.

Ø      Posters need to be displayed and tickets on sale from 26th January - will therefore need to be at the printers on 19th January or earlier and notice given.

Ø      Vicky to ask Adam Lay if he would design the poster/tickets/ programme cover or provide a design that can be adapted for publicity by Vanessa.

Ø      Free tickets (omitted).

 

4.      Events

Improvisation evening – another enjoyable social, though it was commented that numbers were quite low and included a lot of the same people who had been to the first one.

Pub quiz - Thursday 13th December 9.00pm

Ø      Alan to contact the Crown to see if they have space. If not, options include staying in the Epworth Hall, going to the Scout Hut or to someone’s house.

Ø      Alan to liaise with Vicky and Melanie if location and refreshments need to be provided.

January event – Vanessa (and Alan?) to provide panto workshops at the start of 2 panto rehearsals 7.30-8.15 on 10th and 17th (or 17th and 24th) January. This will be open to all members and supporters.

Ø      Vanessa and Vicky to meet to organise 9pm on Tuesday 8th January at Vicky’s.

Summer Production – possibly mid August

Ø      Melanie to ask Sarah Litton to check which dates would work for children (liaise with Rebecca), to inform the committee and attend the next committee meeting.

Murder Mystery – a group in Portswood have shown interest the Players performing our murder mystery at one of their fundraising events. We would need time to prepare and to know if enough Players want to be involved. 

Ø      Melanie to contact group about dates and whether we would receive publicity/food/a donation.

 

5.      AOB

Noda – subscription is due in January. As Noda is generally aimed at larger groups and do not provide anything we can’t get through other means, the committee decided to terminate this subscription.

Ø      Melanie is their current contact and so will write to cancel.

Ø      Gift(omitted)

Scenery storage - John Gorst has given us advance warning that he will be moving in the next 12-18 months, therefore we will need alternative storage for flats and large props.

Next meeting: Friday 4th January 7.45 at Melanie’s (tbc depending on availability of Sarah Litton and absent committee members). The agenda will include the summer production, panto and organising events for 2008 up to the AGM.
