Minutes of committee meeting

Monday 16th August 2007  7.00pm

Alan and Vanessa’s House

1.      Minutes of the last meeting 23rd July 2007 and matters arising

The minutes of the previous meeting were read and accepted.

·        Children’s production – Sarah is happy to direct and has ideas about running a week long summer school during the holidays with a performance at the end of the week.

 

 

2.      Barbecue

Final details for the barbecue were organised and the decision made to go ahead whatever the weather. As many people as possible had been contacted personally to encourage them to come along. (PMN – the barbecue was a great success, lots of lovely food, chat and games. Huge thanks to the Holligans for opening up their home and to everyone who provided food.)

 

 

3.      Costume

Sarah Litton has offered part of her garage in Up Somborne for permanent costume storage. The space is large enough and has a concrete floor, but may get a bit damp in winter.

Ø      Could Melanie contact Sarah to discuss rent for the space.

We would still like to move costumes in October – provisional date Sunday 14th October.

(PMN – Rebecca has also made headway on finding out about a grant for a container – see her email, so this option can be discussed at the next meeting.)

 

 

4.      Play

Vanessa asked about budgeting for the play, as costumes and publicity could be quite expensive. The committee agreed that hiring authentic costumes is important and agreed a budget of £150. The committee also agreed that money could be spent to produce professional posters, designed by Andy Litton, and that Andy’s design could be used for the tickets and programmes, which would then be printed in the usual way at cost. The licence for the bar is £24 per night and we will need to buy wine and juice. Costs other than these should be minimal and hopefully the bar will bring in extra money. All players will be asked to sell tickets to try to ensure large audiences.

Ø      The committee asked for a cost analysis by the next meeting.

 

 

5.      Panto

Script – We have decided on Sleeping Beauty, but not necessarily which version, as there are 3 to choose from on www.lazybeescripts.co.uk .

Ø      Committee to read all 3 before the production meeting – comments can be shared on the forum www.giraffeandtiger.co.uk/players/forum .

Ø      Committee to also encourage people along to the production meeting.

 

 

6.      AOB

·        Walk – People will need to bring own food and picnic blankets. We can remind people at the panto production meeting and by email.

 

·        (PMN – The Winchester Passion Play 08 is being produced by someone in the village who has contacted us to see if anyone is interested in auditioning. I will send round an email to all contacts with details – please mention it to anyone not on email who might be interested.)

Wednesday 5th September 7.45 pm at Epworth Hall – initially an open production meeting for panto 2008, all interested parties to attend – followed by a committee meeting.
