Minutes of committee meeting

Thurs 25th April 2007

 

Present:  Lesley Evans, Sue Spurling, Vanessa Sharpe, Melanie Haydon

 

Apologies: Rebecca Rickard, Sue Holligan, Jo Finch

 

1.      Minutes of the last meeting 29th Mar 2007

 

There was an error as Jo did not wish to remain on the committee.  The previous meeting before 29th Mar had been listed as 19th Feb and it was thought this meeting had been in January.

 

2.      Matters Arising

 

Melanie had written to Janice Waterman about the scout hut.  Glenda Sims had been told that we were not able to do teas but would have a jigsaw puzzle stall.  A copy of the AGM invitation was to be sent to Phyllis.  Vicky still needed to provide receipts for panto expenses.  (omitted).  A bottle of red wine each for Chris, David and Alan was to be purchased as thanks for their efforts for the murder mystery.

 

3. AGM

 

Jo is unlikely to be at the AGM.  Nigel Coleman may be interested in a role.  Melanie indicated she would be willing to take on the treasurer’s role if there were no other takers.  Vanessa was willing to be nominated as secretary, other attempts still being made to find a chairman.  A calendar of events through the year was discussed to form the basis of a verbal chairman’s report.

 

4. Costume storage

 

Sue Spurling has found space in a barn belonging to Sophie Lyons to store the costumes temporarily.  A rota has been produced for moving them during the weekend of 28th/29th April.  Jo had approached the chairman of the parish council regarding putting a container at the scout hut and he indicated it would be considered favourably.  We will need permission from the National Playing fields association as well as planning permission.

 

It was agreed to purchase some more plastic boxes. (PMN no suitable boxes available but not needed as some wheely bins found.)

 

5. Payment of expenses

 

It was agreed that the limit at which expenditure needed to be agreed by 4 committee members should be raised to £50. 

 

6. Autumn Production

 

It was agreed that the scripts could be purchased and the rights to perform it.  Male members should be encouraged to attend the casting.  Sue Spurling and Melanie both offered to help at the performances but did not want parts.
