AGM 2007

 

AMENDED MINUTES OF THE ANNUAL GENERAL MEETING OF THE SOMBORNE PLAYERS HELD ON THURSDAY 3RD MAY 2007, AT 8PM IN THE SCOUT HUT

MINUTES OF THE LAST ANNUAL GENERAL MEETING: The minutes of the last AGM held on 21st June 2006 were read by Melanie and accepted, proposed by Sue S. and seconded by Cynthia.

 

MATTERS ARISING:

·      The electrical work in the Village Hall has been half carried out. The power supply has been moved to the other side of the stage. Patch panel is in place but not yet wired up as there are more sockets to fit in the ceiling.

·      The loft has not been boarded and this plan has been postponed in light of the Village Hall development which may implement changes anyway.

·      John Green audited the accounts for 2005-2006.

·      Line learning was much improved for the 2007 pantomime.

 

CHAIRMAN’S REPORT

 

Due to Jo Finch’s absence, the Chairman’s report was given as a verbal report delivered by Melanie Haydon after consultation with the committee. If any members require a written report, it may be possible to organise one: please contact the committee.

 

·      Summer Production 2006

This was performed the week before the last AGM and notes can be found in the previous Chairman’s report.

 

·      Shakespeare Evening

In July 2006 Vanessa Sharpe ran a Shakespeare evening which involved acting out sections of various plays, reading aloud and insulting each other with authentic Shakespearean quotes. It was a very enjoyable evening.

 

·      Improvisation Evening

In October 2006 Sue Holligan and Vanessa Sharpe ran an improvisation evening, taking participants through mime, dialogue and character development, culminating in a mass improvisation in the doctor’s waiting room. The evening was well attended and enjoyed by all, with some requests for similar activities to be held in future.

 

·      Christmas Social

Due to the busy nature of the Christmas season, last year’s social was held after a pantomime rehearsal in the Village Hall. Some members took up the invitation to arrive early and get a sneak preview of the panto, after which we enjoyed chatting over the food and drink provided by members.

 

·      Panto 2007

This year’s pantomime, Red Riding Hood, superbly directed by Vicky Burden and produced by Sue Holligan, was another successful production. Comments focused on the slickness of the production, with scene changes being swift and actors being word perfect and it was a pleasure to see so many younger actors taking on major roles. There were good audiences on the Friday night and Saturday matinee, but surprisingly disappointing audiences on the Saturday evening. Perhaps this was due to the panto being held during half term week, although this did mean that many more younger Players could be involved. Particular thanks go to Vicky for her hard work, Chris for the props and Keith for the set design, but as always thanks must go to all of those, both members and non-members, who helped out in any way with this major undertaking. The panto would not be a success without you!

 

·      Murder Mystery

In April 2007 the Players and the Somborne School Association hosted a murder mystery in the Village Hall to help raise money for the school. Murder in Mid-Somborne, written by Alan Glynne Jones, Chris Hall and David Haydon, was meticulously planned and full of intrigue. With parts improvised by the Players, “Gimlet” magazines on each table and a dead body falling out of the cupboard, it couldn’t fail to be a fun filled evening. 63 tickets were sold, raising £650 for the school. Huge thanks go to Alan, Chris and David for the hours they spent working on this. We are now looking into the possibility of publishing the scenario with Lazy Bee Scripts online.

 

·      Church Fete

The Players will be running a jigsaw stall at the Church Fete on 9th June 2007, 2pm in the Old Vicarage Garden. Please pass any jigsaws you are willing to donate to Melanie. Any volunteers to help man the stall would be appreciated.

 

·      Autumn Production 2007

Vanessa Sharpe is directing J.B. Priestley’s “An Inspector Calls” which will be performed in the Village Hall on Friday 5th and Saturday 6th October 2007. The start up meeting is on Thursday 17th May 8pm in the Scout Hut. Auditions will be held and anyone interested in being involved in any way is invited to come along and offer their support.

 

·      Panto 2008

We are currently looking for a director and a producer for the next pantomime, to be performed around February next year. The committee has suggested looking at traditional pantomimes and probably using the Lazy Bee Scripts website for a script. Any one interested in directing or producing should contact the committee soon.

 

TREASURER’S REPORT

 

Claire Bevan presented the accounts which are being audited by John Green. The accounts are currently healthy, although it must be remembered that some productions do lose money and there may be need for a big expenditure to cover costume storage and stage curtains in the near future. This year’s panto made less of a profit than last year, but the summer production 2006 made money.

 

A request was made for numbers of tickets sold for each performance to be recorded and records kept for future reference.

 

Alan proposed the accounts were accepted and this was seconded by Vicky.

 

David proposed a vote of thanks to Claire for doing the accounts and for putting a lot of hard work into being treasurer. This was seconded by Rebecca.

 

ELECTION OF OFFICERS

 

AMENDMENT

Claire proposed a vote of thanks for Jo Finch. Jo worked extremely hard as chair last year and guided the Players through another productive and successful year and has always been there for the Players. This vote of thanks was supported by all present.

 

·        Jo Finch did not wish to stand again as Chairman. Vicky Burden was proposed by Vanessa and seconded by Lesley.

·        Melanie Haydon did not wish to stand again as Secretary. Vanessa Sharpe was proposed by Sue H. and seconded by Catherine.

·        Claire Bevan resigned as Treasurer on March 31st 2007. Melanie Haydon was proposed by Alan and seconded by Sue S.

·        Lesley Evans, Rebecca Rickard and Sue Spurling stood down from the committee.

·        Nigel Coleman was proposed to be elected to the committee by Sue S. and seconded by Vanessa.

·        Alan Glynne Jones was proposed to be elected to the committee by Melanie and seconded by Catherine.

·        Sue Holligan was proposed to remain on the committee by Pollyann and seconded by Catherine.

 

The committee is now as follows:

The former committee were thanked for their hard work in the previous year.

 

ELECTION OF AUDITOR

 

David proposed the John Green be nominated as auditor, seconded by Pollyann.

 

NEW RESOLUTIONS

 

A request was made for the constitution to be made available to all members.

 

After debate over subscriptions, David’s proposal for £6 adults, £3 children was seconded by Vicky and accepted.

 

ANY OTHER BUSINESS

 

Sue Spurling thanked all those who helped move costumes for their sterling work. Melanie gave a vote of thanks to Sue for her leadership in trying to resolve this issue. Most costumes are now at Marsh Court Manor (which is a temporary arrangement for a maximum of 6 months) and are inaccessible. If any members have items of costume they need to return, there is a small amount of space being provided by Melanie and David. Many ideas were offered in terms of avenues to pursue, all of which will be looked into by the committee. The committee would welcome any further ideas or options.

 

David Haydon proposed that the Players consider putting on a children’s production with all the main roles being taken by younger actors. The children were such a success in the pantomime that it would be exciting to see them in their own production. Nigel seconded the proposal. Initial thoughts suggest a production at the beginning of the summer holidays 2008. Any volunteers to direct?

 

Vanessa Sharpe recommended the Sombornes website: www.thesombornes.org.uk for village information and links to the Players. There are also photos available to view, however Rebecca voiced concern over publishing photos without permission. There are no pictures of under 16s on the website.

 

Vanessa Sharpe suggested more social activities as well as events be organised by the committee.

 

Members were reminded that subscriptions are now due.
