MINUTES OF THE ANNUAL GENERAL MEETING OF THE SOMBORNE PLAYERS HELD ON WEDNESDAY 21 JUNE 2006, AT 7:45PM IN THE EPWORTH HALL

MINUTES OF THE LAST ANNUAL GENERAL MEETING: The minutes of the last AGM were read and accepted, proposed by Sue Spurling and seconded by Alan Glynne-Jones.

 

MATTERS ARISING:

 

The trunks have been removed from Cynthia Bloom’s garage, there is 1 spare if any member would like it.  Steven Burgess has agreed that the loft in the village hall can be boarded by the Players and the wiring in the ceiling changed with the addition of a patch panel over the stairs.

 

CHAIRMAN’S REPORT: 

 

David Haydon gave the chairman’s report.

 

 

Harvest Supper

 

The Players again provided the entertainment for the Harvest Supper in October.  This time the programme revolved around audience participation in a number of songs.

 

A Fine Monster You Are!

 

The production of “A Fine Monster You Are!" by Monk Ferris took place on 2/3 September.  It was directed by Vanessa Sharpe, her first production for us, and we congratulate her.  The cast enjoyed working on the play and it was well received by the audience.  It was unfortunate that the audiences were small – this leading to the decision to put on a play in June to catch the audience before they go on their summer holidays!  (This year’s play took place in June to much larger audiences.)

 

Video Evening

 

Sue Spurling organised a video evening in November at which a select group watched a number of excerpts from videos of past Pantos.  The evening was enjoyed by those who attended and thanks go to Sue for watching hours of video to select the scenes to be watched.

 

Panto 2006

 

This year’s Pantomime, Robin Hood and the Singing Nun, was another successful production, despite smaller audiences again.  We did four performances again this year, but it is doubtful that the fourth performance can be continued given recent audience numbers.  David Haydon made his directing debut and none of the cast actually walked out so he couldn’t have been too bad!  And, yet again, it was good to see a number of new faces in the cast.  Despite lower ticket sales, increased prices and reduced costs meant that the panto made a healthy profit.

 

The panto is a major undertaking which would not be successful without the effort of a large number of people, many of whom are not members of the Players and we are very grateful to them for their time and support.

 

Summer Production 2006

 

Audrey Thomas directed a farce in mid‑June – Pardon Me, Prime Minister.  There were good audiences for the two performances and the play was well‑received.  The doors got another outing – they have turned out to be a good investment.

 

Monthly Meetings

 

The committee have tried to maintain a programme of monthly meetings throughout the year, whenever they can be fitted around other events.  Although not exactly well attended, those who have attended meetings over the past year have enjoyed them.  If there is anything that anyone would like the committee to arrange, please let a committee member know.  It will be discussed in committee and we will try to arrange it.

 

Finally, my thanks to the rest of the committee for all the hard work that they have put in to make the past year a busy one for the Players – and, I think, another successful one. 

 

 

TREASURER’S REPORT:

 

Claire Bevan presented the accounts.  They have not yet been audited as John Green has been away on a long holiday.  If there are any issues Claire will let the members know and if necessary an extraordinary general meeting will be called. 

 

Cynthia Bloom proposed that the accounts were accepted and this was seconded by Sue Holligan.

 

ELECTION OF OFFICIERS:

 

David Haydon did not wish to stand again as chairman.  Jo Finch was proposed by Peter Duncan and seconded by Cynthia Bloom.

 

David Haydon proposed that the remaining committee be re-elected en-bloc and this was seconded by Keith Chapman.  Rebecca Rickard proposed that Sue Holligan be co-opted onto the committee and this was seconded by Vanessa Sharpe..

ELECTION OF AUDITOR: 

 

Claire Bevan proposed that John Green be nominated as auditor and this was seconded by Sue Spurling.

 

ANY OTHER BUSINESS:

 

Sue Jackson asked if the constitution says anything about all actors taking a supportive role in doing other jobs required for a production.  She felt that members have a responsibility in this way.  It was agreed that the committee can ask members to do necessary tasks towards a production.  The next newsletter will indicate this responsibility on members.

 

Cynthia Bloom observed that it can be embarrassing if people do not learn their lines and this was seconded by Sue Jackson.

 

It was requested that there should always be a pantomime/play startup meeting and they should be advertised in the gauntlet for both potential actors and behind the scenes assistance.  The best way to get new members was felt to be by word of mouth, maybe bring them to a play reading.  Audrey Gannaway observed that she would like there to be more play readings.  It was reported that Winchester library have put their scripts into storage during their year long refurbishment so it is not possible to browse scripts at any of the libraries locally.  Alan Glynne-Jones asked if we had looked at swapping scripts with other societies.

 

Sue Jackson asked if we could offer lifts for productions, Audrey Thomas reported that the Sunshine club were not interested in attending the play.

 

David Haydon asked if anyone would like to direct the pantomime next year.  Vicky Burden requested that the director be involved in the choice of scripts.

 

Rebecca Rickard asked if Cricklade Theatre would give any training on lighting or sound so we have a fallback for Bill Sutton and Andrew Flanagan.

 

Catherine Cartwright passed on a request from Kings Somborne School that the Players do a Murder mystery evening similar to that done some years ago in April/May next year in aid of school funds.

 

Andrew Flanagan said that the electrical work in the village hall loft would probably be around Ł200 and he undertook to get a quote.  Chris Hall was talking to Barker & Geary regarding materials for boarding the loft in the hall.

 

Catherine Cartwright asked on behalf of the Mums and tots where the mats in the hall should be kept and it was agreed it was better if they were kept on the stage.

 

Sue Jackson said that for the recent play all the cast made an effort to sell tickets and this was more effective than other ways.

 

Vanessa Sharpe announced that there would be a Shakespeare play reading evening on Wed 19th Jul at 7:45pm in the Epworth Hall.

 

Members were reminded that subscriptions were due now.
