MINUTES OF THE ANNUAL GENERAL MEETING OF THE SOMBORNE PLAYERS HELD ON WEDNESDAY 30 APRIL 2003, AT 7:45PM IN THE EPWORTH HALL

David Haydon opened the meeting by welcoming members.

 

MINUTES OF THE LAST ANNUAL GENERAL MEETING: The minutes of the last AGM were read and accepted.

 

MATTERS ARISING: Rebecca Rickard asked if we had promoted costume hire this year in articles in the Gauntlet.

 

CHAIRMAN’S REPORT: 

 

David Haydon gave the chairman’s report.

The first event of the year was the entertainment for the Victorian evening held by the Somborne Society for which a letter of thanks has been received from the society.

 

At the request of the Village Hall committee, in return for some extra rehearsals on Sundays, the Players painted the walls at the back of the stage.  After two attempts they are now black.

 

In June the players provided a parade of fashion over the last fifty years for the Church Fete.

 

Two play readings took place, both organised by Rebecca Rickard.

 

Two visits to the Theatre Royal in Winchester took place, these were to “Hay Fever” and to “Red Riding Hood”.

 

A number of members and their children entered a walking float on the theme of “Peter Pan” in the carnival procession.  Unfortunately, the side show was not a success but at least we tried.

 

Jo Finch gave a demonstration of stage makeup in October.

 

The Proteus Travelling Theatre, visited the village in November to perform “Around the World in Eighty Days”.  This was jointly promoted by the Village Hall committee and the Players.  The performance was greatly enjoyed by all who came along.  We are hoping to arrange another visit by a travelling theatre again this year.

 

The Players were invited to join the Ashley Ladies Choir for their Christmas concert in the church.  Several members acted out half-a-dozen short scenes from the Christmas story in between carols and other Christmas songs sung by the Ashley Ladies.

 

Two full houses and 80 people on Friday evening made this year’s Panto a great success.  A number of new faces both on stage and back stage made this a village panto.  The cast ranged in age from 8 to 80 and numbered 25, there were as many names on the production and front of house side of the programme as in the cast.  Sadly it was the last time we shall see Mike and Jean Norton on stage so Mike’s role as Bossy was a fitting climax to his time here.  Thanks are due to everyone who helped backstage, front of house and by donating items to enable the performances to take place.

 

Finally, David thanked the rest of the committee for all the hard work that they put in to make the past year a busy one for the Players – and, he thought, a successful one.  Thanks also to Chris Hall and Vicky Burden and everyone else who has given up their time to help with all the unglamorous but necessary tasks to keep the Players going.

 

TREASURER’S REPORT:

 

Bill Sutton queried whether the hire item was sound equipment or lighting, Andrew Flanagan confirmed that it was lighting.  John Chapman queried why no interest had been received, this was due to the account being moved to Alliance and Leicester (Girobank) and the deposit account only being opened in September with annual interest.

 

Sue Spurling proposed that the accounts were accepted and this was seconded by John Chapman.

As all were in favour David was duly elected.

 

Claire Bevan thanked David on behalf of the players for his hard work during the year.

 

Bill Sutton proposed that the rest of the committee be re-elected en-bloc and this was seconded by Audrey Thomas and passed unanimously.

ELECTION OF VILLAGE HALL REPRESENTATIVE:  It was decided that this role should continue as last year to be filled by one of the members of the committee.  Bill Sutton had been a member of the sub-committee on sound.  Advice had been taken from Professor Fahey (professor of acoustics) and an acoustic curtain was to be purchased for the back of the hall.  Estimates were being obtained for equipment.  Funding is from the village hall who have obtained a lottery grant towards the costs.  Andrew Flanagan asked if the heating fan could be quietened but the costs would be prohibitive.

As all were in favour John was duly elected. 

 

ANY OTHER BUSINESS:

 

Bill Sutton asked if purchase of a new amplifier could be considered.  Most of the sound equipment belongs to Bill, the society owns a mini disk player.  Claire requested a list of items owned and used by the society from Bill and Andrew.

 

Sue Spurling asked if we could look at the gap in the stage curtains, it was suggested that a fringe might be possible.  A better colour for the curtains would be dark green.

 

Andrew Flanagan asked about the relatively low profit on the pantomime given the size of the houses.  It was explained that the introduction of a family ticket had probably reduced the overall receipts, the panto did however make over £300.  There was some discussion of whether a fourth performance should be given.  It was not sure that Sunday would be a good idea.  Bill Sutton asked if we could have the village hall in the Wednesday of the panto so that the equipment did not have to be moved, it was felt that a rehearsal could take place that day.

 

Andrew Flanagan proposed a vote of thanks to Chris Hall and Vicky Burden for all their work on the panto which was seconded by David Haydon.

 

Jo Finch suggested that children were not included in the start-up meeting for the panto but were included at a later stage.

 

Audrey Thomas gave details of the autumn production which is a farce “Darling Mr London“ which includes people who were not in the panto or only had a small part.  People who would like to be involved in other ways should get in touch with Jo Finch.  Members were asked to encourage people to come and see it.  The performances will be on 10th, 11th October.

 

Stockbridge Players are putting on “Far from the Madding Crowd” in July and anyone interested in a small part should get in touch with Chris Clark.

 

The players have been asked to do refreshments at the church fete on 7th June, the theme is Caribbean.

Members were reminded that subscriptions were due now.
